WhatsApp for Business: How to Reply Faster and Turn More Enquiries into Customers

SPIDY DIGITAL Team · October 26, 2026 · 3 min read

Most customers choose the business that replies first. Here is how to set up WhatsApp so no enquiry is ever missed.

In India, people use WhatsApp every day, so it is the easiest way for a customer to reach you. The business that replies first often wins the customer. But when you are busy, messages get missed, replies are slow and enquiries go cold. With a few simple settings you can reply faster, look more professional and follow up without forgetting anyone. You do not need any special software to start.

1. Use the WhatsApp Business app, not the normal one

WhatsApp Business is free and made for companies. It lets you add a business profile with your address, hours, website and a short description, so customers see that you are a real business.

2. Set up automatic messages

Inside the app, turn on three helpful messages:

  • Greeting message: a friendly welcome when someone writes to you for the first time
  • Away message: tells customers when you will reply if you are busy or offline
  • Quick replies: saved answers for common questions such as fees, timings and location

3. Organise your chats with labels

Use labels such as New enquiry, Follow-up, Booked and Paid. At a glance you can see who is waiting for a reply and who needs a reminder. This simple habit stops enquiries from slipping away.

4. Put a WhatsApp button on your website and ads

Add a Chat on WhatsApp button that opens a chat with a ready-made message, such as I am interested in your services and would like a free demo. This saves the customer from typing and gives you more serious enquiries. You can also run ads that open WhatsApp directly.

5. Follow up politely, and only with permission

If a customer does not reply, send one friendly reminder after a day or two. Share updates and offers only with people who have contacted you or agreed to hear from you. Sending bulk messages to people who did not ask for them can annoy customers and can get your number blocked.

A simple first-reply example

Hello, thank you for contacting us. We have received your message and will reply shortly. To help you faster, please share your name and what you are looking for.

Quick checklist

  • WhatsApp Business app installed with a complete profile
  • Greeting, away and quick replies are set up
  • Chats are labelled every day
  • Website has a Chat on WhatsApp button
  • Bulk messages go only to people who agreed
